What is a time attendance system and How Does It Work?

A time attendance system TAS is a monitoring device that is used to record the login and log-out time of the employees. This device verifies and recognizes the identity of a person. These devices are mainly used in public and private sector organizations. Through this system, an organization keeps an accurate record of the arrival and departure of its employees which enables it to watch over the working hours of the employees. This system helps them to monitor late arrivals, early departures, and even the time taken on breaks. More importantly, it prevents employees from clocking in for one another. If an organization has many employees and wants to keep an eye on the absentees, those who are on leaves, or those who come late then the time attendance system is a great device to take of all these issues. Nowadays there are various kinds of Time attendance systems available in the market such as: –

1. Fingerprints: It is the most common time attendance system which scans the finger of a human being. The error rate of finger TAS is very less and moreover, it is a very economical technology.

2. Hand Geometry: It is similar to fingerprint technology. The only difference is that this technology scans the shape of hands and the length of fingers.

3. Face: Time attendance system also uses humans face as well to recognize that person. This system verifies or identifies a person through facial characteristics.

4. Voice: Any person can be identified through his/her voice. This voice recognition system verifies a person by his voice tone, pitch, and frequency.

How does it work?

Each type of time attendance system, irrespective of the fact whether it is fingerprints, hand geometry, face or voice tech, scans specific characteristics. For example, in fingerprint device, scans every unique finger. Similarly, a hand geometry device scans the characteristics of the hand length, shape, etc. In face recognition tech, it verifies the facial patterns and in voice tech, scans or verifies the tone, pitch, and frequency of the voice.

After scanning the characteristics, coordinates are determined and mapped. These are then referenced against data saved in the system. In case an employee has not been registered with the system, then that employee will not be able to use this system to clock in and clock out of work.

1. The first and foremost benefit is that it is convenient to install.
2. These systems have a very high accuracy rate.
3. It is user-friendly and works quickly. In the case of a card punching system, a person may forget his card and that creates a lot of hassle. However, in a TAS where unique bodily characteristics are used to recognize a person, it becomes a hassle-free experience.
4. It helps companies to keep a track of the employee’s clock-in and clock-out time.
5. The employee’s personal details such as social security number, birth date, and pin number are not used by these systems which makes them highly secure.

From what has been discussed above, it can be implied that Time Attendance System is of significant importance for organizations where they must record and track the in and out the time of the employees. Therefore, these days it becomes imperative as well as beneficial to invest in a Time Attendance System since it poses no threat to employees’ personal details and at the same time ensures that there is no wastage of working hours as well.
